Simple explanation

EPF (Employees' Provident Fund) is a statutory retirement-savings scheme administered under the EPF framework. A PF account or record is the employment-linked contribution and service record maintained for a member. The employer also contributes under the applicable EPF/EPS rules and statutory limits; it is not always a simple matching amount.

A Member ID is the PF account identifier associated with a particular employer or establishment. When you change jobs, a new employer may create or use a different Member ID, while the same UAN is used to connect the records. One UAN can therefore have multiple employer-specific Member IDs.

The UAN helps EPFO and the member connect these records, view service and contribution information, and request eligible transfers or claims. It does not mean that every employer account automatically has the same balance or that every claim is available online.

You can use the EPFO member portal for services such as login, passbook access and claim-related actions. The current EPFO member portal notice directs members to the UMANG app for activation of existing UANs and generation of new UANs, so check the latest official instructions before starting.

Why does it matter?

Your UAN helps keep employment-linked EPF records organised when you change jobs. Keeping the correct UAN, Member IDs, personal details and KYC information connected can make it easier to view records and request an eligible transfer or claim, but approval depends on the service, account data and current EPFO rules.

Example

In numbers

Suppose you work at Company A and receive Member ID A under UAN 100012345678. After moving to Company B, Company B creates Member ID B and records it under the same UAN when the employment details match. You may then request an eligible PF transfer from Member ID A to Member ID B through the official process. The UAN connects the records; it does not turn the two Member IDs into one account number.

What is the difference between UAN and Member ID?

UAN is the permanent identifier intended to connect a member's EPF records across covered employments. A Member ID is the PF account identifier for a particular employer or establishment. The same UAN can have multiple Member IDs, and the Member ID is not the same thing as the UAN.

How do I activate my UAN?

The current EPFO member portal notice directs members to the UMANG app for activation of existing UANs and generation of new UANs. Use the official UMANG service, follow its identity and OTP checks, and use the EPFO member portal for login or other services when directed. Do not share your UAN, Aadhaar, PAN, bank details or OTP with callers or unofficial agents.

How do I recover a forgotten UAN or password?

Use the official EPFO Member Portal's Know Your UAN service to retrieve a UAN using the details and verification method it accepts. For a forgotten password, use the portal's Forgot Password option and the registered mobile or other verification details requested there. If the registered mobile is unavailable, OTP fails, or your personal details do not match, contact the employer or raise the issue through the official EPFO grievance channel rather than using an unofficial recovery site.

Important things to know

  • A UAN is generally intended to remain associated with a member across covered employments, but duplicate UANs can occur and should be reported through the official process.
  • EPF coverage depends on the EPF Act, establishment coverage, employee status and applicable rules. It is not determined by one universal employee-count rule for every person or establishment.
  • The current EPFO member portal directs members to UMANG for activation of existing UANs and generation of new UANs. Portal workflows and eligibility can change.
  • Aadhaar supports identity and e-KYC checks; PAN can matter for tax-related treatment in some withdrawal situations; bank details support payment of eligible claims. These are separate KYC or service requirements, not one universal checklist for every EPFO action.
  • KYC details may require employer approval or EPFO processing, and a claim may have additional service-specific requirements. Check the current instructions before submitting it.
  • If you already have a UAN from a previous job, give it to the new employer so the correct UAN and Member ID can be connected instead of creating avoidable duplicate records.

Common mistakes

  • Assuming activation is always completed on the member portal, even though the current EPFO notice directs activation and new-UAN generation through UMANG.
  • Confusing the UAN with a Member ID, PF record or passbook account.
  • Assuming Aadhaar, PAN, bank linkage and employer approval are required in exactly the same way for every service or claim.
  • Giving a new employer incomplete or incorrect UAN details, which can create duplicate records or mismatched Member IDs.
  • Ignoring a name, date-of-birth, Aadhaar or mobile-number mismatch until a claim or transfer is urgent.
  • Sharing OTPs or personal KYC details with callers claiming to be EPFO representatives.

Frequently asked questions

Can I have more than one UAN?

A member is generally intended to have one UAN, but duplicate UANs can occur after a job change or incorrect details. Do not keep using both as separate identities; report the duplicate through the employer or official EPFO grievance process and follow the current correction or consolidation instructions.

Where can I find my UAN?

Check your payslip or ask the employer's HR/payroll team. You can also use the official EPFO Member Portal's Know Your UAN service with the personal and verification details it accepts. Keep your registered mobile information current where the service requires it.

Is UAN only for private sector employees?

No. UAN is relevant to employees covered under the EPF framework, including eligible employees in covered private-sector establishments and other covered establishments. Coverage depends on the EPF Act, establishment status, employee status and applicable rules; there is no single universal threshold that answers every case.

Do I need my UAN to withdraw PF after leaving a job?

Many online EPFO services use the UAN, but the exact identity, KYC, bank, service-history and employer or EPFO verification requirements depend on the claim and current rules. Check the official EPFO instructions for the specific withdrawal or transfer service.

What is a Member ID under a UAN?

A Member ID is the PF account identifier associated with a particular employer or establishment. You can have multiple Member IDs under one UAN after changing jobs. The UAN connects the records; it is not the same as any one Member ID.

What should I do if I forget my UAN or password?

Use the official EPFO Member Portal's Know Your UAN service to retrieve your UAN and its Forgot Password option to reset access using the verification details requested. If the registered mobile is unavailable or verification fails, contact your employer or use the official EPFO grievance channel.

What if my registered mobile number has changed or I cannot receive the OTP?

Do not use an unofficial recovery service. Try the official EPFO or UMANG flow available for your account, and if the old mobile is unavailable, OTP repeatedly fails, or details do not match, ask the employer for correction help or raise an EPFO grievance. The available route can depend on the account and current portal workflow.

How do Aadhaar, PAN and bank details relate to EPFO KYC?

They serve different purposes. Aadhaar may support identity and e-KYC, bank details may be needed to receive an eligible payment, and PAN can affect tax treatment in some withdrawal situations. Approval and requirements vary by service, claim and current EPFO rules; employer or EPFO verification may also be required.

What should I do if my name or date of birth is incorrect?

Do not submit a claim with knowingly incorrect details. Check the correction option in the current EPFO workflow, coordinate with the employer for the records they control, and use the EPFO grievance channel if the correction is not resolved. The documents and approval route depend on the field and current rules.
